Create a lease agreement
Create the agreement for a rented property. On save, Mapaprop generates the instalments for the entire period.
Overview
The form has three sections that open one at a time. Each one shows in red how many required fields are still missing, and the "Validate and Continue" button closes it and opens the next one.
| Section | What it defines | |
|---|---|---|
| 1. Property and tenant | Who rents what | Required |
| 2. Period and amount | From when, until when and for how much | Required |
| 3. Administration | Commission, due dates and adjustment | Optional |
You can save as soon as the two required sections are complete: the third one has sensible defaults and can be edited later.
If your plan does not include the feature —or you have already reached the maximum number of active agreements— the notice appears above the form, before you start. You will not fill in an entire agreement only to find out when you save.
1. Property and tenant
Property
Click on the field and the search dialog opens. You can search by address, code or title.
On this screen the search shows only properties listed as Rental or Short-term rental. If you cannot find a property, check that its operation type is one of those two: a property for sale does not appear here.
Both published and unpublished properties appear, and that is intentional: a rented property is usually not published, and that is exactly the one you will want to manage.
Once selected, the card shows the address, the code and the area, with the "Change" link to replace it.
Changing the property clears the tenant and the guarantors you have selected. This is intentional: the suggested contacts belong to the previous property.
Tenant
Click on the field and the contact search dialog opens. With the property already selected, the contacts linked to that property appear at the top —tenant, prospects and owner— because the tenant of the agreement is almost always one of them. If they are not there, type to search your entire address book.
Guarantors
They are optional and you can add several: you pick one, it is added to the list, and the "Add another guarantor" link lets you add the next one. The cross on each row removes it.
Every guarantor is automatically given the "Guarantor" label in the CRM.
The same contact cannot be both tenant and guarantor of the same agreement. The search dialog no longer offers them for the other role.
2. Period and amount
Start and End
The End field is the first day the agreement no longer covers. A one-year agreement starting on 01/01/2027 ends on 01/01/2028, not on 31/12/2027.
Below the dates, Mapaprop shows you how long the agreement lasts and the last day it actually covers. This is the quick way to confirm you entered what you meant: if it says "11 months and 30 days" where you expected a year, you are one day short.
The duration is counted in calendar months, not in blocks of 30 days: from 29/10 to 29/12 is 2 months, even though that is 61 days.
Monthly amount, Currency and Deposit
The monthly amount is required. The currency can be ARS or USD. The deposit is optional and does not generate an instalment: it is recorded in the agreement.
The first month, when it does not start on the 1st
If the agreement starts on a day other than the 1st, that month is incomplete and Mapaprop asks you how to charge it. It tells you how many days are left out of how many, and shows you the amount for each option before you choose:
| Option | What it does |
|---|---|
| Charge the remaining days of the month | Prorates: charges the proportional part. This is the suggestion |
| Charge the full month | Charges the whole month even if the agreement starts mid-month |
| Start charging next month | That first stretch is not charged |
If none of them works for you, tick "I will enter another amount" and type the one that applies.
To avoid charging the first month, choose "Start charging next month". Entering zero as the amount does not work: the system rejects it.
If the agreement starts on the 1st, this question does not appear — all three options would produce the same result.
3. Administration
This section is optional and comes with default values.
| Field | Default | What it is for |
|---|---|---|
| Commission | 10 % | Your management fee on each instalment |
| Due from day / to day | 1 to 10 | The due window for each instalment |
| Adjustment index | No automatic adjustment | Which index the amount is adjusted by |
| Frequency | Annual | How often it is adjusted |
| Notes | — | Internal notes for the agreement |
The available indices are ICL (BCRA), IPC (INDEC) and Casa Propia.
The default is No automatic adjustment, and that is deliberate: all three indices are Argentine and Mapaprop is used in several countries. Select one yourself if it applies to you. Without an index, the frequency is disabled and the amount is not adjusted automatically.
What happens when you save
When you press "Create agreement":
- The agreement becomes active and takes up one slot of your plan's allowance.
- Mapaprop generates every instalment for the period, with its due date and its amount.
- You go straight to the agreement record, where you record payments, adjust the amount and renew or cancel it.
Limitations and special cases
- A property cannot have two agreements in progress. If it already has an active one, the system rejects it on save.
- The allowance counts active agreements. Cancelling one or letting it expire frees up the slot.
- The end date must be later than the start date, and the End field is exclusive (see section 2).
- The commission ranges from 0 to 100 %, and the "from" day cannot be greater than the "to" day.
