Message Inbox / Leads

The Inbox centralizes all the inquiries you receive about your properties from multiple sources: website, real estate portals, MercadoLibre, Mapaprop Network, MLS networks, and Chat AI.

Email Notifications

When a client sends an inquiry about one of your properties, the system notifies you automatically:

  • Main email: Sent to the email account of the Branch assigned to the property
  • Copy: Sent to the email account of My Company (only if different from the branch's email)

The email contains a direct link to view and reply to the message from Mapaprop.

Automatic Contacts

Every message you receive automatically generates a Contact in your CRM module:

  • If the contact already exists (same email), it is updated and linked to the new property
  • If it's new, it's created with the "interested" category
  • The contact is linked to the property that was consulted

You can see all your contacts in the CRM / Customers module

Message Types

The inbox organizes messages into four categories through tabs:

All

Shows the total number of messages regardless of origin. The counter indicates the total amount.

Customers

Messages from end customers inquiring about your own properties. They arrive from:

  • Your website
  • Real estate portals (Zonaprop, Argenprop, MercadoLibre, etc.)
  • Mapaprop Chat AI

Available for: All plans

Mapaprop Network

Messages from fellow real estate agents in the Mapaprop Network who have clients interested in your shared properties.

These messages come from fellow brokers and can lead to collaborative business opportunities. We recommend responding professionally and promptly.

Available for: Mapaprop Pro+

MLS Network

Messages from clients who inquired about your properties published on colleagues' websites within the MLS network.

When a colleague publishes your property on their website and a client makes an inquiry, you receive the message along with the client's details.

Available for: Mapaprop Business

Unread / All Subfilter

Below the main tabs (All / Customers / Network / MLS) there is a second row of filters. On the left is the read-status filter, with two options: All and Unread. On the right of that same row is Wrote, which filters by something else (see the next section).

The read-status filter is combinable with the main tab:

  • You're in Customers + Unread → you see only customer messages you haven't read yet
  • You're in Network + Unread → you see only pending network messages
  • You're in any tab + All → you see all of them (read and unread) from that origin

The Unread button shows a yellow badge with the pending count of the active tab (e.g.: "Unread 23" in Customers). When clicked, the list is filtered on the server — pagination and counters remain consistent.

Start the day by entering the Customers tab and activating Unread to work only on what's pending. When you finish, switch to All to see the full history.

The subfilter persists across navigation: if you open a message and go back to the inbox, it keeps its state.

"Wrote" Filter

Many of the inquiries that come in weren't written by anyone: when someone taps "WhatsApp", "call" or "see phone number" on a portal, the portal generates an automatic notice and sends it to you as a message. They're useful —that person showed interest in your property— but they don't bring a question to answer.

The Wrote button, to the right of the same row as All / Unread, leaves visible only the messages where the person actually wrote something.

They're two different filters, and that's why they have different shapes:

  • All / Unread is a choice: you see one or the other.
  • Wrote is a toggle. When it's active it shows a checkmark.

That makes them combinable, and the most useful combination is precisely Unread + Wrote: what a person wrote and nobody has read yet. They also combine with the main tab (All / Customers / Network / MLS) and with the rest of the filters. Like all of them, it filters on the server: pagination and counters remain consistent.

Each row also shows a tag indicating where the text came from:

  • This person wrote it → the inquiry was drafted by the interested party
  • The portal wrote it → it's an automatic notice, or the default message the portal offers

What distinguishes one from the other is the AI lead reading, which reviews inquiries as they come in. It doesn't consume your AI tokens.

If you're short on time, turn on Unread and Wrote together: those are the messages where someone asked you a specific question and you haven't seen them yet.

Messages from before August 2026 don't have this information, so they don't show a tag. They keep appearing regardless, even with the filter active: we'd rather show you one extra message than hide one that a person might actually have written.

The filter persists across navigation, just like Unread.

This feature is available from the Pro+ plan onward. The button is always shown: if your plan doesn't include it, you'll see it with a lock icon, and tapping it tells you what it is and how to activate it.

Reading and Replying to Messages

Message view

When you select a message from the list, the conversation opens with:

  1. Contact details: Name, phone and email. With the "View contact" button in the header (or by clicking the name) you open the CRM contact panel without leaving the Inbox
  2. Origin: Portal or source the message was sent from, with status badges (Read/Unread)
  3. Property button: Green house icon in the header that opens a side panel with the full details of the property that was consulted
  4. History: The entire conversation sorted chronologically
  5. Reply field: To write and send your response

Replying to a message

  1. Select the message from the list
  2. Review the contact's and the property's details (green house button)
  3. Write your response in the field at the bottom
  4. Press Enter or the send button

The client will receive an email with your response and a link to continue the conversation.

Replying to messages requires an active subscription (Plus or higher).

Property Panel

By clicking the green house button in the header, a side panel opens with the complete information of the property that was consulted:

  • Main image of the property in large format
  • Code and price of the property
  • Descriptive title
  • Transaction type and property type (Sale, Rental, Apartment, House, etc.)
  • Full address with zone
  • Associated branch or network agency
  • Action buttons: QR code and direct access to the property's listing

Similar Properties

Inside the property panel, a Similar Properties section is shown with up to 3 of your own properties that match on:

  • Same property type and transaction type
  • Same geographic zone
  • Similar price range (+-30%)

Click on any of them to go directly to its listing.

Use similar properties to offer alternatives to the client if the property they asked about doesn't exactly match what they're looking for.

Similar in Mapaprop Network

Below your similar properties, a section appears with up to 5 properties from other agencies in the Mapaprop Network that match the same criteria (type, transaction, zone and price range).

They're sorted by publication date, newest first, so you can see the latest to join the network.

What you see of each one: photo, price, address, type and transaction.

What you DON'T see: the agency's name, its branch, or its contact details. This is intentional — the preview shows the property, not who published it. To see the full listing, click on the property.

At the end of the section, the Explore Mapaprop Network button takes you to the network's search with the same type, transaction and price range.

This section is always shown, no matter your plan. If your plan doesn't include access to the Mapaprop Network, you'll see the properties, but clicking them will prompt you to upgrade your plan.

It's the fastest way to respond to a client when you don't have the property they're looking for: check the network, and if you find a match, contact the colleague who published it from its listing.

Contact Panel

With the "View contact" button in the message header (or by clicking the contact's name), a side panel opens with the complete contact details from the CRM:

  • Personal details (name, phone, email)
  • Contact status
  • Properties of interest
  • Notes and tags
  • Saved searches

From there you can edit the details, add notes, or navigate to the full contact.

Adding the contact to the sales funnel

In the contact panel you'll find the Funnel button (purple). From there you place that lead in a stage of the Sales Funnel to track its progress through to close. If the contact is already in the funnel, the same button opens its position.

Converting Inbox inquiries into funnel opportunities helps you avoid losing any lead. Viewing and operating the funnel is available from the Pro+ plan.

Conversations

Mapaprop keeps a complete history of every conversation:

  • When you reply, the client receives an email with a link
  • The client can view the conversation and reply from a public page
  • Every new reply generates an email notification for you
  • The message reappears as "unread" in your inbox

Messages are sorted with the newest at the top of the list, and chronologically within each conversation.

Search Filters

Use the filters in the top bar to organize your inbox. All of them are combinable with each other and with the tabs (All/Customers/Network/MLS) and the Unread subfilter:

FilterDescription
OriginPortal or source of the message (Zonaprop, Website, MercadoLibre, etc.)
Branch / AgentFilter by branch (if you have more than one)
Date rangeDate from - to
TransactionSale / Rental / Short-term Rental — filters by the transaction type of the property consulted
Property typeApartment / House / PH / Land / Commercial Space / Office / etc.
Property codeType part of the code (e.g.: "DEV" or "864286") and find inquiries for that property. Partial search, doesn't require the full code

The Transaction, Type and Code filters only apply to messages that have an associated property, which is the most common case.

Some inquiries arrive without an associated property, and that's normal: it happens with direct Instagram messages, with MercadoLibre listings that aren't linked in Mapaprop, and with inquiries Zonaprop receives from its microsites (where the portal doesn't tell us which listing they came from).

Those inquiries are still saved and you see them in the inbox, with the full contact. Two differences: you don't get an email notice (there would be no property to name in the message), and they don't appear in the per-branch numbers of the inquiries report — but they do count toward the agency's total.

Combine filters to narrow things down quickly. Example: Customers + Unread + Transaction: Sale = only pending customer inquiries about properties for sale.

A green indicator appears when there are active filters. Use "Clear filters" to reset everything.

Metrics Panel (Desktop)

When you open the inbox and haven't selected any message yet, the right panel shows a live mini-dashboard with metrics about the current results. It changes automatically when you apply filters — no need to refresh.

What it shows:

  • KPIs: total messages, unread, unique properties consulted, unique contacts.
  • AI reading: how many of those messages were written by a person (requires Pro+ plan — see below).
  • Distribution by origin: donut chart with the origins of the inquiries (Website, portals, MercadoLibre, Chat AI, etc.).
  • Distribution by transaction: donut chart with Sale / Rental / Short-term Rental based on the property of each inquiry.
  • Top most-consulted properties: ranking of the 5 properties with the most leads in the filtered set. Clicking a property filters the inbox by that code (same as if you had used the Property code filter).

AI Reading

The AI Reading block summarizes, over the same filters you have applied, where each inquiry comes from:

NumberWhat it counts
WroteThe person drafted a text
The portal wrote itAutomatic portal notice: someone tapped "WhatsApp", "call" or "see phone number"
Not analyzedWe still don't know which of the two it is
Hot and unreadInquiries with more purchase intent that nobody has opened yet

Below, a bar shows the proportion among the first three. The three add up to the Total above.

We've been analyzing inquiries since August 2026. Earlier ones show as Not analyzed, so if you look at the full history that number will be the largest. Filter by date to see recent months.

If your plan doesn't include AI reading, the block is still shown, with a lock icon and no numbers: clicking it explains what it does and how to activate it.

Combine filters with the metrics panel to answer quick questions: which transaction type gets the most inquiries? which property is topping the list this month? which origin brings in the most?

Desktop only: on mobile, the right-hand space is used for the chat, so there's no room for the panel.

Technical note: all the numbers in the panel are calculated on the server over the total messages that match your filters, not just the ones you've loaded on screen. If the list has pagination, the aggregates still cover the full set.

Selection and Actions

Selection mode

Click the checkbox icon to activate multiple-selection mode. In this mode you can:

  • Select individual messages with the checkboxes
  • Use the master checkbox to select/deselect all
  • Use the dropdown menu to select only read or only unread ones

Available actions

ActionDescription
Mark as readMarks the selected messages as read
Mark as unreadMarks the selected messages as unread
DeleteDeletes the selected messages
Delete + ContactDeletes messages and their associated contacts from the CRM

The delete button is also available in the header of each individual message (red trash icon).

The "Delete + Contact" action cannot be undone. Make sure you really want to delete the contact from the CRM.

Premium feature: Multiple selection and bulk actions require Mapaprop Plus.

MercadoLibre Messages

Messages from MercadoLibre show additional badges:

  • Yellow "MercadoLibre" badge: Identifies the origin
  • Contact type: Question, WhatsApp, Call, Visit, or Quote
  • "Replied" badge: Indicates whether the question has already been answered on ML

The first reply to a MercadoLibre question is published directly on the listing. Subsequent replies are sent as private messages to the interested party.

Chat AI Messages

Mapaprop Chat AI is a smart assistant that automatically answers customer inquiries on your website 24/7. The conversations appear in your Inbox with a purple "Chat AI" badge.

Each Chat AI message consumes AI tokens from your plan. You can see your consumption in real time from the top menu (purple badge) or in AI Services.

Mapaprop Chat AI requires a Plus, Pro+ or Business plan with included AI tokens.

Mapaprop Network Messages

Messages from the Mapaprop Network represent inquiries from fellow brokers about your shared properties. When you open one of these messages:

  • An alert appears indicating it's a Network message
  • The colleague's agency name is shown
  • The property may be yours or the network's

Respond professionally and collaboratively. These messages can lead to joint deals.

MLS Network Messages

Messages from the MLS Network with co-brokering let you serve Network properties on your own website.

MLS message flow

  1. A client sees your property on the colleague's website
  2. They send an inquiry
  3. You receive an initial notification
  4. The colleague receives the full message and manages the communication

Privacy

The client only sees the details of the broker on the website where they made the inquiry. They never see your details directly.

The notification always shows the details of the Broker of the website. It never transmits information about the property's original Broker.

Frequently Asked Questions

Why can't I reply to messages? Replying to messages requires an active Mapaprop Plus subscription. Manage my plan

Where are message contacts saved? Automatically in the CRM / Customers module, linked to the property that was consulted.

Can the client see my details in MLS Network messages? No. The client only sees the details of the broker on the website where they made the inquiry.

How do I change the email where I receive notifications? Set the email in the Branches section for each branch, or in My Company for the general copy.

What are similar properties? It's an automatic feature that finds properties with similar characteristics (type, transaction, zone, price) to the property consulted. They appear in the side panel when you click the green house button.

What does the "The portal wrote it" tag mean? That the message wasn't written by a person: the portal generated it when someone tapped "WhatsApp", "call" or "see phone number". It's still a lead —that person showed interest in your property— but there's no question waiting for a reply. See AI lead reading.

How do I see only the messages I haven't read? Use the Unread subfilter (second row of tabs). It's combinable with the main tabs: for example, Customers + Unread shows you only pending customer messages. The badge on the button shows the count.
