Sales pipeline
The pipeline lets you track each contact's journey through stages, from when they enter as a lead until the deal is won or lost. It's the CRM view that turns your contact list into an organized sales process.
Overview
Each contact occupies a single position in the pipeline, represented by a card within the column of its current stage. As you move the process forward, you move the card from one stage to the next.
The pipeline has two views, which you switch between using the Pipeline / Metrics selector at the top right:
- Pipeline: the kanban board with columns and cards.
- Metrics: KPIs and conversion breakdown by stage.
Pipeline stages
Mapaprop's default pipeline has these stages, ordered by probability of closing:
| Stage | Meaning |
|---|---|
| New | The lead just came in, no follow-up yet |
| Contacted | There was already a first contact |
| Qualified | The lead has real interest and intent |
| Visit | A visit was scheduled or took place |
| Negotiation | There's an offer / negotiation in progress |
| Won | The deal closed successfully |
| Lost | The lead fell through (with a loss reason) |
The Won and Lost stages are the pipeline's closing stages and are always visible. Each stage's probability percentage is the basis for the metrics and doesn't change, even if you rename the stage.
Adding a contact to the pipeline
- Tap Add contact (top right).
- Search for the contact by name, email, or phone.
- If it doesn't exist yet, tap Create new contact to add it without leaving the pipeline.
- Choose the stage where you want to place it.
You can also add a contact to the pipeline from its record: in the contact's detail view, the Pipeline button places it (if it's not there yet) or opens its position (if it already is).
Moving a contact between stages
There are two ways:
- Drag the card from one column to another (drag & drop).
- Open the lead detail (by tapping the card) and use Move stage.
When you move a contact to Lost, the system asks you for a loss reason so you can later analyze why deals fall through.
In the board view, you can scroll horizontally between columns by dragging with the mouse over the board's background, in addition to the wheel and the scroll bar.
Lead detail
Tapping a card opens the lead detail, with:
- Current stage and where it entered the pipeline from.
- Metrics: total time in the pipeline, time in the current stage, and number of moves.
- Stage history: the timeline of each move (who and when), color-coded by stage.
- Notes: the same notes as the contact, to log follow-up.
- Actions: View contact (opens the full record), Move stage, Remove from pipeline, and View pipeline (takes you to the board and highlights the card).
Search and filter
In the board's toolbar you have:
- Text search: filters cards by contact name or number.
- Tags: filters by your contacts' tags.
- View salesperson (office admins only): shows a specific agent's pipeline.
- View branch (office admins only): shows a specific branch's pipeline. It's independent of the salesperson filter: choosing one clears the other.
- Reload: refreshes the board.
If you're the office admin, each card shows a tag with the contact's branch, so you can see at a glance which branch each lead belongs to.
Metrics view
The Metrics tab summarizes the pipeline's performance. At the top, on the same row, you have two controls:
- Scope: Mine (your own pipeline) or My office (the aggregate of the entire agency). Available to everyone, including salespeople — "My office" shows the office's totals as a comparison, without exposing other people's contacts.
- Period: 7, 30, or 90 days, with the date range on the right.
What's shown:
- KPIs: contacts in the pipeline, won, lost, and win rate.
- Breakdown by stage: how many contacts are in each stage today (Current), how many passed through it (Entered), the conversion rate to the next stage, and the average time in the stage.
The flow (entered) and conversion apply to the selected period; the average time is historical (global). The Scope selector only affects the metrics — the board keeps showing your usual view.
Customizing the pipeline
With the Business plan you can create a customized pipeline: rename the stages and hide the ones you don't use, adapting them to your sales process. It's accessed from the settings button (gear icon) in the board's toolbar.
- You have one customized pipeline at a time; your customization is a view over Mapaprop's pipeline (the probability axis stays the same).
- You can revert the customizations at any time to go back to the default pipeline.
Customizing the pipeline is an exclusive feature of the Business plan. Viewing and operating the pipeline is available from Pro+.
On mobile
On small screens, instead of several columns you'll see a stage selector (the colored chips at the top) and the list of cards for the chosen stage. Tap another chip to switch stages.
