Google Workspace gives you your domain's email (info@yourrealestateagency.com) inside Gmail, with the same inbox you already know how to use, plus Drive, Meet and Calendar for your whole team. It is a paid Google service, and it is the route we recommend for real estate agencies with several people who need more than just sending and receiving emails.

This article covers how to sign up and, above all, how to connect it with your domain from Mapaprop, which is the part you do on our side.

Each Google Workspace account is paid per user per month. The plans and the prices are set by Google and change by country, so it is best to look at them on their own page: workspace.google.com/pricing.


How to sign up

You sign up for the account yourself, directly with Google. During sign-up you will choose your domain (the same one you have in Mapaprop), create your first user and enter a payment method.

If you sign up through this link, Mapaprop receives a commission from Google. It does not change the price or the conditions of the service for you, and you still sign up in your own name.

When sign-up is finished, Google will ask you to verify the domain and to set up the email. Both are handled from Mapaprop, on the DNS Records screen.


How to connect it with Mapaprop

For your domain's email to reach Google, the domain's MX records have to point to their servers. You do that yourself, from the panel.

Requirement: your domain has to be delegated to Mapaprop. If it is not yet, start with Domain delegation.

How to get to the screen: Websites > your site > Internet Domain > the domain > DNS Records.

Step 1 — Verify the domain with Google

Google will give you a code to prove that the domain is yours. It is a TXT record:

  1. Click Add record.
  2. Choose the type TXT.
  3. Leave the name as it comes (the code goes at the root of the domain).
  4. Paste into value the text Google gave you (it starts with google-site-verification=).
  5. Save, and go back to the Google screen to confirm the verification.

Step 2 — Add the MX records with the preset

Here you do not have to copy anything by hand:

  1. Click Add record.
  2. Choose the type MX.
  3. The Email provider field appears. Choose the Google Workspace option that applies (see below).
  4. Save. The values and the priorities are filled in by the system.

Choosing the provider from the list avoids the most common mistake when setting up email: copying the servers correctly but getting the priorities wrong, or leaving one out.

Which of the Google options to choose

In the selector you will see more than one Google Workspace entry. They are not equivalent alternatives: they are configurations from different periods.

If Google showed you values on screen that are different from the ones the preset chose, go with Google: choose Manual (I'll enter the values) and enter exactly what it told you.

Step 3 — Confirm that the email arrives

The change is applied on our servers instantly, but the internet takes a while to pick it up. Wait a few minutes and then:

  1. Send yourself an email from an outside mailbox (your personal Gmail) to your domain address, and check that it arrives in Gmail.
  2. Send one from your domain mailbox to the outside, and check that it goes out.

Do it the same day. If something went wrong, the sooner it is detected, the easier it is to correct.


How to move from your current email without interruptions

If you currently have mailboxes working with your domain at another provider, there is an order that is worth respecting. It is explained step by step in Migrate your domain without interrupting email.

Moving your MX records to Google does not bring over the old emails or the contacts that you have at the previous provider. That information has to be backed up beforehand, from the old account. Once the email points to Google, the previous one is no longer accessible.

Email that is lost because of a badly set MX record does not bounce back with a clear error: whoever writes to you gets no notice and you see nothing odd, email simply stops coming in. That is why it is best to run the Step 3 test the same day.

The Google Workspace account is yours: you sign up for it, you pay for it and you administer it, and you are free to use it with Mapaprop or with any other hosting provider.

Mapaprop does not provide technical support for the Google service and does not set up computers, phones or email clients. Our support reaches as far as the domain records.


Frequently asked questions

Can I try it before paying?

Google offers a trial period when you create the account. The conditions are set by Google and you will see them during sign-up.

How many email accounts can I have?

As many as you want: it is paid per user per month. You can start with one and add more as the team grows, from the Google admin console.

I already have Google Workspace, does it still work?

Yes. If you already have the account and you are bringing your domain to Mapaprop, all you have to do is restore the MX records with the preset from Step 2. There is no need to sign up again or to repeat the verification.

I added the MX records and the email still does not arrive

DNS changes are not immediate across the whole internet. If you have just added them, wait a while and try again. If several hours have gone by and it still does not arrive, check in the list that the previous provider's MX records have not been left there too: two sets of MX records coexisting send the email to both places.

Do I also need an SPF record?

Google recommends it so that your emails do not land in spam. It is a TXT record with the value v=spf1 include:_spf.google.com ~all, and you add it from the same DNS Records screen. If you already have an SPF record from another provider, do not add a second one: they have to be combined into a single one, and in that case write to us.

Is Google Workspace or Zoho Mail better for me?

It depends on what else you use besides email. If your team already works with Drive, Meet and Calendar, Google Workspace leaves everything in a single account. If you only need mailboxes and you want to start at no cost, Zoho Mail has a free option for up to 5 accounts.
