Property Moderation
Summary
Property moderation lets an agent request authorization from the administrator before publishing a property. It's a feature of the Business and Business Manager plans that helps maintain listing quality and ensures that everything published goes through a prior review.
With this system:
- The agent loads the property and requests authorization instead of publishing it directly.
- The administrator receives an email notice and sees a pending task in their console.
- The administrator reviews the property and approves it with a single click.
- Once approved, the agent can publish it on the portals as usual.
Moderation only applies to properties loaded by an agent. The administrator continues to publish their own properties without intermediate steps.
Who can use moderation
Moderation is available on the Business and Business Manager plans. On lower plans it doesn't appear and properties are published directly, as always.
| Plan | Moderation available |
|---|---|
| Free | No |
| Plus | No |
| Pro+ | No |
| Business | Yes |
| Business Manager | Yes |
Roles involved
| Role | What they do in the moderation flow |
|---|---|
| Administrator | Receives requests, reviews and approves properties. |
| Agent | Loads properties and requests authorization to publish them. |
The administrator sees the moderation system as a pending task on their dashboard. The agent sees it as a button different from publishing directly. Users of accounts without the Business plan don't see anything related to moderation.

What an agent does
Loading a new property
The agent loads the property as usual: basic data, images, location on the map, price, features, etc.
The only difference is that when the load is finished, the "Publication" button doesn't appear on the property's toolbar. Instead, an orange "Request Authorization" button appears.
Requesting authorization
To request authorization, the agent presses the "Request Authorization" button. The system checks that the property has the minimum required data:
- Property type
- Operation (sale, rent, etc.)
- Price greater than zero
- Address
- Location on the map (latitude and longitude)
- At least one main image
If any data is missing, the system indicates which fields are missing and doesn't send the request.
When the data is complete, the system asks to confirm the action and sends the request to the administrator. The agent sees a success message and the property is marked as "Pending authorization".
While the property is pending
The property can still be viewed and edited, but it can't be published. In the property listing it appears with an orange "Pending" label so the agent knows it's waiting for approval.
If the agent goes back into the property, the publish button remains hidden and instead a notice is shown that the request is pending.
When the property is approved
When the administrator approves the property, the following happens:
- The agent's branch receives an email with the notice that the property was authorized.
- The label changes to a blue verification icon in the listing.
- The "Publication" button appears again on the toolbar.
From that point on, the agent can publish the property on the portals as usual.
What an administrator does
Entering the moderation system
The administrator accesses the moderation system from:
- The side menu, in the Agency > Moderation section.
- The main dashboard, where a "Moderation" card appears with the number of pending properties. If there are pending items, the card is shown with an orange border to draw attention.
Notice email
Every time an agent requests authorization, the administrator receives an email with:
- The name of the branch and the agent who requested it.
- The title and code of the property.
- A direct link to the moderation page to review it.
Moderation page
The moderation page shows the list of pending properties with all the key information:
- Main image of the property.
- Code and price.
- Title and address.
- Type and operation (sale / rent).
- Branch and name of the agent who requested it.
- Date of the request.
For each pending property there are two buttons:
- View: opens the full property page to review it in detail.
- Approve: approves the property directly from the list.
Approving a property
When pressing Approve, the system asks to confirm the action with the message:
"The property will be enabled for publication by the agent."
Once confirmed, the property disappears from the pending list and the agent receives an email with the approval notice. The property is marked with a blue verification icon in the general listing.
Approving from the property page
Besides the moderation page, the administrator can also approve a pending property by going directly to its page. In that case, the "Publication" button on the toolbar is temporarily replaced by an orange "Approve" button. When pressed, the flow is the same as on the moderation page.
What happens with properties that were already loaded
Properties that already existed in the account before moderation was activated don't require authorization, even if the account upgrades to the Business plan. This applies both to properties that were already published and to those that weren't published.
Moderation only applies to new properties loaded by an agent once the Business plan is active.
What happens if you downgrade your plan
If the account cancels or downgrades from the Business plan to a lower plan, the system automatically rejects all pending moderation requests that existed at that moment. The properties keep existing with all their data, but the requests are marked as rejected with the reason being the cancellation.
Agents on the account no longer see the moderation system (because it's not available on lower plans) and go back to the normal direct publication flow.
Limits and special behavior
One request at a time
There can only be one pending authorization request per property. If the agent already requested authorization, the button is replaced by the "Pending authorization" badge until the administrator resolves the request.
Editing approved properties
If the agent edits a property that was already approved, the approval is kept. It's not necessary to request authorization again after minor changes. This decision is meant so the agent can correct prices, descriptions or images without friction.
Notice email to the administrator
If the account doesn't have a contact email configured, the notice to the administrator isn't sent, but the request is still registered and visible on the dashboard. The administrator will see it when entering the system.
Approval email to the agent
The approval email is sent to the agent's branch email. If the branch doesn't have an email configured, the email isn't sent but the approval is processed anyway. The agent sees the change the next time they open the property.
Important rules
| Situation | Rule |
|---|---|
| Agent tries to publish without requesting authorization | Not allowed. The publish button doesn't appear until the property is approved. |
| Administrator publishes their own property | The administrator doesn't need to go through moderation. Publishes directly. |
| Agent requests authorization with incomplete data | The system indicates which fields are missing and doesn't send the request. |
| Agent requests authorization twice for the same property | There can only be one pending request per property. The system blocks it. |
| Administrator approves a property | The property is enabled for publication. The agent receives a notice email. |
| Agent edits an already-approved property | The approval is kept. It's not necessary to request again. |
| The account downgrades from the Business plan | Pending requests are automatically rejected. Properties are kept. |
| User without the Business plan enters the Moderation page | Sees a message that the feature requires the Business plan and can see the available plans. |
| Agent enters the Moderation page | Sees a message indicating that moderation is managed by their account's administrator. |
Frequently asked questions
Why can't the agent publish directly?
Moderation is designed for Business accounts that need quality control before a property goes public. The administrator checks that the data is correct, that the images are appropriate and that the information is complete before authorizing publication.
Who receives the email when an agent requests authorization?
The email goes to the contact email of the account's administrator (the My Company email). If that email isn't configured, the request is still registered and the administrator sees it when entering their dashboard.
Can I reject a property instead of approving it?
In the current MVP, only the approve option is available. If a property doesn't meet the criteria, the administrator can contact the agent through the usual means and ask them to correct it. A rejection system with a reason is planned for a future version.
If the agent edits the property after it's approved, do they need to request authorization again?
No. Once approved, the property can be edited and published as many times as necessary without going through moderation again.
Can the agent cancel a request that was already sent?
Not directly. Once sent, the request stays pending until the administrator approves it. If the agent needs to make changes before approval, they can still do so (the property remains editable) and the request stays valid.
Does moderation work with properties that were already loaded before activating Business?
Properties that already existed (published or not) don't need to go through moderation. Only new properties loaded by an agent with the Business plan active require authorization.
If I deactivate the Business plan, what happens to pending requests?
All pending requests are automatically rejected with a reason indicating that the account no longer has Business. Properties are kept intact; only the status of the requests is resolved.
Can agents see the moderation history?
Yes, in read-only mode. The agent enters the Moderation page and sees the pending requests for their own Branch / Agent, without the approve button. It's useful as a report to track the status of their own requests in a single view, complementing the individual indicators on each property page ("Pending", approved icon).
Can an administrator approve several properties at once?
In the current MVP, each property is approved individually. A bulk approval feature is planned for a future version.
What happens if I have several administrators (Business Manager plan)?
Both the main administrator and the managers can approve requests. Any of them can enter the Moderation page and resolve pending items.
Where do I configure whether I want to use moderation or not?
Moderation is activated automatically when you contract the Business plan. There's no switch to enable or disable it. If the account doesn't need it, the administrator can simply load properties directly (without intermediate agents) and they won't see the moderation flow.
